Community Participation Policy (“the Policy”)
Introduction
The Healthcare Information and Management Systems Society (“HIMSS”) hosts various professional communities, volunteer groups, committees, task forces, and workgroups (collectively, the “Community” or “Communities”) for HIMSS members. Communities offer benefits including, but not limited to, peer-to-peer networking, problem solving, solution sharing, and education. By participating in a Community, you acknowledge that you have read, understood, and agree to be bound by the terms and conditions of this Policy.
Scope and Applicability
This Policy applies to all HIMSS Members (the “Member”) who participate in any Community, whether such participation is in-person, virtual, or through any other means of communication.
If this Policy conflicts with a Community’s own internal operating policies, this Policy shall be superseded by that Community’s internal operating policy.
Policy
- Community meetings may be recorded only by authorized HIMSS staff liaisons for the purpose of creating and editing HIMSS-owned content, including but not limited to, whitepapers, blogs, videos, resource documents, and any derivative works thereof (collectively, the “Content”).
- Member contributions made during meetings may be summarized, quoted, or otherwise included in the Content at the discretion of HIMSS staff only.
- Attendees may not use AI bots, AI tools, application programming interfaces (APIs), browser extensions, plug-ins, transcription software, or any other automated or mechanical tools or technologies to record, transcribe, or otherwise capture meeting discussions, slides, chat, or shared files—except for pre-approved assistive technologies used for accessibility purposes.
- Members may share or reference the Content only if (i) proper attribution is provided to both HIMSS and the Community, and, where applicable, to the named authors/contributors, and (ii) such sharing is for non-commercial purposes only. Members may not reproduce, republish, or otherwise distribute the Content, in whole or in part, without proper attribution.
- Members expressly agree not to present the Content, in any way, as their own independent work, and acknowledge that any violation of this Policy may result in immediate termination of Community membership and potential legal action by HIMSS to protect its intellectual property rights.
- Unauthorized reproduction, misattribution, or commercial use of the Content without adherence to the terms set forth herein constitutes a material breach of this Policy and may result in immediate termination of Community membership privileges and other remedies available to HIMSS under applicable law.
- Continued participation in the Community constitutes acceptance of the Policy. HIMSS reserves the right to modify this Policy at any time in its sole discretion. Members may be notified of any material changes to this Policy.
