Event Terms and Conditions
Thank you for registering for this Health Information and Management Systems (“HIMSS”) program (“Event”). The following Terms and Conditions (“Terms and Conditions” or “Terms”) apply to you and your participation in the Event. By registering for the Event, you agree to these Terms, so please read them carefully. Failure to comply with any of the Terms may result in registration cancellation without refund. HIMSS reserves the right to expel anyone from the event who does not comply with any of the policies, in HIMSS’s sole discretion.
Registration Rates
The Early Bird registration rate only applies to registrations with payment received by August 15, 2025 – 11:59 PM ET. Registrations made after this date will be charged the Advanced or Standard registration rate. Confirmations will be sent via email. If you do not receive a confirmation email within 24 hours of submitting your registration, please notify us at Eventregistration@himss.org.
Please note: Non-members or attendees registering under the incorrect category will be charged the correct amount using the original payment method, available on file. A new registration confirmation email will be sent reflecting the correct registration rate.
Badge Rules
Bring your government identification to the Event. Each registrant will be issued a badge onsite and is required to wear it at all times during the Event and any related organized functions. Exchanging badges with any other person is strictly prohibited. Anyone discovered wearing a badge that does not match their identification will be ejected from the Event without a refund at the discretion of the Event organizers.
Code of Conduct
Our Event is dedicated to providing a harassment-free Event experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of Event participants in any form. Sexual language and imagery is not appropriate for any Event venue, including talks, workshops, parties, Twitter and other online media. Event participants violating these rules may be sanctioned or expelled from the Event without a refund at the sole discretion of the Event organizers.
Cancellation Policy
Registration cancellations must be submitted in writing by September 25, 2025 via email to to: EventRegistration@himss.org .
Registration cancellations by telephone are not accepted. Cancelled registrations must be received at least 2 weeks before the Event is scheduled to be refunded, less a $50 administrative fee. Canceled registrations received after this date are not refundable. Refunds will be processed within 90 days of receiving the cancellation notice. Reinstatement of registration is not permitted after cancellation has been processed by HIMSS. Unfortunately, no exceptions to this policy can be accommodated.
Please note that no substitutions will be permitted.
HIMSS Cancellation or Modification
HIMSS reserves the right to cancel or reschedule any programming or the Event for any reason, and/or close registration when programs are sold out or, and/or make changes based on an occurrence outside the control of HIMSS prevents a program from being presented, with all such decisions to cancel, modify or reschedule the Event being at HIMSS’s sole discretion. HIMSS is not responsible for any expenses or costs registrants may incur in planning to attend the Event. Registrants who purchase non-refundable transportation and/or lodging do so at their own risk. If HIMSS cancels the Event, HIMSS will automatically apply any pre-paid portion of your registration fee toward registration for the next HIMSS event located in the United States and occurring within twelve (12) months of the date of the Event, excluding the HIMSS Global Health Conference & Exhibition. Such application of your registration fee to a subsequent event shall be your sole remedy in the event of cancellation or rescheduling of the Event.

Photo/Film Release
Please be advised that photographs and video will be taken at the event. By registering and attending the event, you consent to the photographing and filming of you by HIMSS and its agents while at the event for program(s) and for promotional, marketing and/or editorial activities of HIMSS. HIMSS reserves the right, but is not obligated to, use the photographs and video from the event which may include your image and likeness.
You hereby waive all rights you may have to any claims for payment or other compensation in connection with any such uses by HIMSS and/or its agents. You also hereby waive any right to inspect or approve any photo or video taken by HIMSS and/or its agents.
Waiver of Liability
You assume all risks associated with, resulting from, or arising in connection with, attendance at and/or participation, in any capacity, in the Event or any Event-related activities, including, without limitation, all risks of theft, loss, harm, damage, illness or sickness (including those caused by known or unknown infectious or communicable disease such as COVID, H1N1 or other illness or sickness caused by bacteria, fungi, microorganisms or viruses), or injury to the person (including death) or property damage, whether caused by negligence, intentional act, accident, act of God, or otherwise, and whether occurring before, during or after the Event.
You further agree that neither HIMSS nor its agents, officers, directors, members, contractors or employees shall be liable for illness, sickness or injuries to the person (including death) or loss or damage to property resulting from, occurring at or arising out of the Event or Event-related activities, including but not limited to any education sessions presented in connection with the Event, or for any indirect, incidental, consequential, special, punitive or exemplary damages. You further release and discharge such persons and entities from, and covenant not to sue such persons and entities with respect to, any and all risks, injuries, losses, damages and liabilities described herein.
You further agree that the maximum liability of HIMSS to you arising from your registration, participation, and attendance at the Event shall be the return of your fees paid to HIMSS.
Respect of HIMSS Intellectual Property and Other Attendees’ Contact Details
You agree not to capture or permit to be captured or copied, in any form or format, without the express written permission of HIMSS, any of the Event program content whether in audio, video or still image format. To the extent you can access the some or all of the attendee roster through the Event app or website for networking or similar reasons, you agree not to use the roster contents for any commercial, marketing, promotional or political purposes.
